Preparation and Legalization of the Certificate
Before beginning the nostrification process, your diploma needs to be legalized. Legalization verifies the authenticity of the document and is issued by a government body in the country where the diploma was awarded. There are two possible options for legalization:
- Apostille: If your country is a member of the Hague Convention, you can obtain an apostille for the diploma. This is typically a stamp or separate confirmation issued by the relevant authority.
- Legalization through the embassy in Poland: If apostille services are unavailable in your country, the document can be legalized at the embassy of your country in Poland.
It's important to note that in countries where the high school diploma and transcript (if separate documents) are issued separately, both documents must undergo the legalization process and have an apostille.
Document Collection
After the diploma has been legalized, you must gather a set of documents to submit to the Kuratorium Oświaty (Polish Board of Education):
1. Application for certificate recognition. The application form can be found in the documents of your university or on the Kuratorium Oświaty website.
2. Original diploma and transcript, legalized or with an apostille.
3. Proof of the right to continue education (Eligibility Statement) — a document confirming your eligibility to pursue higher education in the country where the diploma was issued.
4. Program description (Curriculum) — this includes details about the subjects and hours studied in school. The document must be signed by an authorized representative and bear the school’s official stamp.
5. Transcript of grades — a full transcript of your final exam grades is required in some cases, depending on the country where the diploma was issued.
6. Translation of all documents into Polish — translations must be done by a certified translator. Some universities or Academgo can assist with this step.
Submitting Documents to Kuratorium Oświaty
Once all documents are prepared and translated into Polish, they must be submitted to the local Kuratorium Oświaty in the region where your university is located. The submission process usually takes up to 30 days. You can schedule an appointment for document submission through the official website. The documents must be submitted by the student personally, but if this is not possible, we can submit the documents on your behalf through a power of attorney. Waiting for a Decision
After the documents are submitted, the Board of Education reviews them and makes a decision. The processing time typically takes about a month, though it may extend to three months during busy periods. If all documents meet the requirements, you will receive a decision on the recognition of your diploma. This decision must be submitted to the university to finalize the admission process and will also be necessary for your Polish student visa application.
Receiving the Nostrification
After the process is completed and you receive confirmation from the Kuratorium Oświaty, your diploma will be officially recognized in Poland, allowing you to continue your education at Polish universities. All original documents can be collected in person at the department. Courier delivery of documents and notifications will be sent to the address in Poland that you provided when submitting the application.
